We are looking for an
Internal Sales Coordinator
who will be the commercial heartbeat of Evotec’s customer relationships. This role exists to strengthen our customer lifecycle by delivering
exceptional after-sales service ,
maintaining accurate
order administration,
monitoring stock ageing , and
supporting sales target achievement
through structured reporting, proactive communication, and data-driven insight.

define our brand, the Internal Sales Coordinator plays a critical role in ensuring our customers experience Evotec’s values at every touchpoint.
MAIN OUTCOMES:
Achieve and support
the achievement of quarterly and annual sales targets.
Build lasting client relationships
that reflect Evotec’s values of reliability and excellence.
Ensure
every customer interaction reinforces Evotec’s reputation for quality and responsiveness.
Provide accurate, timely reporting
that enables informed commercial decision-making.
Reduce aged inventory
and align stock levels with real customer demand.
KEY RESPONSIBILITIES
Acknowledge customer complaints
within agreed timeframes and route them promptly to the Quality Manager for investigation.
Conduct post-resolution follow-ups
to confirm customer satisfaction and close the loop on all complaints.
Ensure all customer-facing communication
reflects Evotec’s commitment to service excellence.
Source and qualify
new leads through cold calling, networking, and market research.
Identify opportunities
to grow existing accounts by understanding customer packaging needs and Evotec’s full product range.
Prepare tailored quotes and proposals
aligned to customer requirements and Evotec’s pricing framework.
Follow up on all leads in the sales funnel and
ensure pipeline data is accurate and up to date.
Target Monitoring&Reporting
Prepare
weekly sales performance summaries, highlighting opportunities, risks, and deviations against forecast.
Check
actual customer sales against customer forecasts using open orders reports.
Identify
customers with declining sales volumes and initiate proactive follow-up actions.
Distribute
all reports on time, ensuring stakeholders have accurate data for planning decisions.
Stock Ageing&Inventory Oversight
Produce
weekly stock ageing reports highlighting slow-moving lines and stock aged beyond 90 days.
Collaborate with production planning to align manufacturing output with live customer demand and current stock levels.
Proactively flag ageing stock risks and
propose corrective actions
to minimise write-offs.
Customer Relationship Management
Conduct regular satisfaction checks with key accounts to
maintain strong, trust-based relationships.
Liaise
with the Quality Manager by submitting sample requests for new items and product developments, including all required specifications, quantities, due dates, and intended use.
Act as a proactive point of contact : anticipating customer needs and responding before issues arise.
Load all customer orders accurately
into the ERP/SAP system, ensuring correct item codes, quantities, pricing, delivery dates, and customer references.
Send order confirmations
to customers once orders are processed, confirming all details in writing.
Maintain accurate and up-to-date records
in the CRM system to support pipeline visibility and management reporting.
Ensure all sales documentation is completed
in accordance with Evotec’s QMS standards.
Food Safety Responsibilities
Forward all customer complaints to the Quality Manager for investigation
in accordance with ISO 22000:2018 requirements.
Ensure accurate processing and recording
of customer and product information to support traceability.
Ensure all sales-related documentation
meets Evotec’s QMS and FSMS standards.
Adhere to all applicable communication policies, procedures, and processes related to food safety management.
REQUIREMENTS
Matric certificate (required)
Minimum 2–3 years’ experience in
sales operations, customer service, or an after-sales function.
Experience in a manufacturing or FMCG environment
is advantageous.
Intermediate to advanced MS Excel skills.
SAP or CRM system experience preferred.
Certification in sales, marketing, or a related field is advantageous.
