Vector’s vehicle fleet includes a food industry first in ‘multi‑temperature’ vehicles enabling the company to service business across frozen, chilled and ambient temperature zones on a single delivery.
Job Purpose To manage and maintain the fleet and transport team in the hub/depot, thereby ensuring that productivity and performance are maximized.
Key Responsibilities Fleet Control
Manage the daily schedule.
Ensure a job card has been allocated to work and that the driver has completed the form correctly.
Confirm that drivers complete the checklist every morning and afternoon to establish any defaults.
Request complaints and difficulties for the day and take the appropriate action.
Monitor transport performance against benchmarks by obtaining vehicle exception reports from the tracking department to monitor drivers’ conduct and vehicle performance such as speeding, excessive revving or braking, back‑door standing time, and yard delays.
Take necessary disciplinary action depending on the particular instance or trend.
Build a culture of asset care through counselling discussions with staff, particularly drivers.
Consolidate accident/incident reports on an ongoing basis and decide on sanctions based on incident severity.
Conduct physical checks on vehicles, identify required attention, and resolve any issues.
Analyze monthly vehicle inspection sheets and take necessary action.
Record maintenance and repair requirements for each vehicle and forward details to the workshop with required dates.
Report daily to the Transport Manager on trucks that have been booked off and provide reasons for non‑use and expected availability.
Reconcile hired trucks kilometres to supplier shipments daily.
Ensure optimal use of all vehicles by confirming they are loaded to capacity and updating the Vehicle Utilisation Report daily.
Record a daily Casuals Report indicating reasons for ad‑hoc casual usage.
Monitor daily overtime on the BLICK system for drivers, van assistants, supervisors and refrigeration mechanics.
Manage routes to optimise delivery times.
Workshop Control
Consolidate total cost allocated to each truck monthly in a Cost Analysis Report.
Show reasons for additional vehicle expenditure in report format.
Maintain daily diesel documents and reconcile them to the Vector statement(s).
Check and sign off workshop overtime.
Monitor workshop service standards.
Identify service quality anomalies and investigate further.
Summarise all monthly expenditure and report on a cost analysis sheet to balance with the income statement.
Ensure all traffic fines are paid correctly and promptly.
Complete the Weekly Repair Template reflecting time and reasons spent on trucks booked off.
Control fuel‑related issues for hired and Vector trucks.
Perform daily workshop checklists.
Vehicle Maintenance
Oversee cleaning team to ensure regular truck cleaning.
Ensure vehicles are serviced according to the maintenance plan.
Provide a consolidated accident/incident report to the Logistics Manager.
Perform a daily visual check of all vehicles to ensure compliance with AARTO and organisational safety requirements.
Record faults on the vehicle inspection sheet and ensure timely repairs.
Risk Control
Investigate hijacking incidents to confirm authenticity.
Handle proxy responsibilities.
Ensure all drivers possess valid driver’s licences and PDPs.
Health and Safety Compliance
Ensure all staff comply with health and safety requirements.
Investigate and report all injuries on duty (IODs).
Implement safe working procedures.
Manage outsourced truck washing and verify that all chemicals used are approved.
Sustainability and Environmental Management
Measure and manage sustainability practices within responsibility area.
Implement and monitor Sustainability Report targets.
Guarantee environmental legal compliance.
Team Supervision
Train staff on standard operating procedures (SOPs).
Apply SOPs consistently through communication.
Ensure staff understand SOPs and sign off relevant documents.
Conduct monthly staff meetings to identify and resolve problems.
Manage staff performance, create development opportunities and harness strengths.
Measure staff performance using a soft point system (e.g., punctuality, uniform compliance).
Use a hard point system (e.g., cash work, product shortages, track handling, accidents).
Report consolidated performance and analysis on staff notice boards.
Address staff problems through one‑on‑one discussions to identify root causes.
Induct casual staff into the culture and communicate clear rules.
