Executive Assistant / Operations Manager– Marketing Agency Help Run and Scale a Growing UK-Based Marketing Agency
Remote (South Africa) | UK Hours | R32 000 – R35 000 per month
About Our Client Our client is a UK-based marketing agency focused on content and campaign delivery. They are building a long‑term team in South Africa to support growth, streamline operations, and scale effectively. This is a critical hire at the heart of the business—ideal for someone looking to play a long‑term operational role in a founder‑led, fast‑moving agency.
The Role This role serves as the operational backbone of the agency. You will coordinate between leadership, team members, subcontractors, and clients to ensure seamless delivery, on‑time execution, and continuous improvement. From managing internal workflows to owning reporting and process development, your focus will be to reduce friction, increase visibility, and implement the operational infrastructure that allows the business to grow without chaos.
Key Responsibilities
Minimum 2–3 years experience in operations, project management, executive assistant, or agency delivery roles
Manage daily task flow and delivery operations across all client accounts
Coordinate team and subcontractor workloads, timelines, and deliverables
Act as the main contact for freelancers and subcontractors, ensuring clarity and accountability
Attend client meetings (where relevant), capture actions, and translate into clear internal tasks
Own client reporting cycles, compiling and delivering reports on schedule
Produce internal delivery summaries and maintain accurate project/CRM systems
Document, refine, and implement core agency processes and SOPs
Identify operational inefficiencies and propose practical, scalable improvements
About You
2–3 years of relevant experience in a fast‑paced operational or coordination role
Strong task, workflow, and communication skills
Able to coordinate people as well as projects, with high attention to detail
Comfortable working autonomously in a remote, founder‑led environment
Background in marketing, digital, or agency operations preferred
Experience managing freelancers or subcontractors is a plus
Familiarity with tools like ClickUp, Asana, Notion, HubSpot, Google Workspace, or Slack
Calm under pressure, proactive, and solutions‑focused
Process‑driven but flexible—focused on what works, not just what’s written
