Roles and Responsibilities The Document Controller manages all project documentation for the Solar PV project at the Sishen Mine, ensuring accuracy, compliance, and accessibility. The role involves maintaining detailed records, implementing document control procedures, and collaborating with project teams to ensure efficient document management.

The role also includes setting up project controls and reporting in order to track, analyse and report on contractor and project performance.

Key Responsibilities

Document Management: Maintain and manage all project documentation, ensuring documents are accurate, up‑to‑date, and easily accessible.

Document Control Procedures: Implement and maintain document control procedures to ensure consistency and compliance with project requirements.

Record Keeping: Maintain detailed records of all project documents, including drawings, specifications, contracts, and reports.

Document Distribution: Facilitate the distribution and retrieval of documents to and from project teams, contractors, and other stakeholders.

Compliance Monitoring: Ensure all project documentation complies with relevant regulations, including the Mine Health and Safety Act (MHSA) and other industry standards.

Document Review: Review and verify the accuracy and completeness of documents before they are filed or distributed.

Document Tracking: Track the status of documents, ensuring that all required approvals and signatures are obtained in a timely manner.

Audit Preparation: Prepare for and participate in audits related to document control, ensuring all necessary documentation is available and accurate.

Collaboration: Work closely with project managers, engineers, and other team members to ensure efficient document management and compliance.

Training and Support: Provide training and support to project teams on document control procedures and best practices.

System Administration: Administer document management systems, ensuring they are configured correctly and function efficiently.

Issue Resolution: Troubleshoot and resolve any issues or problems with document management systems, ensuring minimal disruption to project activities.

Continuous Improvement: Identify opportunities for improving the efficiency and effectiveness of document control processes.

Reporting: Generate regular reports on document control activities, including compliance status and any required actions.

Document Security: Ensure the security and confidentiality of project documents, implementing measures to prevent unauthorised access or loss.

Regulatory Updates: Stay updated on changes to relevant regulations and standards and ensure document control processes comply with these updates.

Document Archiving: Manage the archiving of project documents, ensuring they are stored securely and can be retrieved easily when needed.

Quality Assurance: Ensure that all documents meet quality standards and are free from errors or discrepancies.

Document Templates: Develop and maintain document templates to ensure consistency and standardisation across the project.

Quality management: Ensures that Owners Engineer quality documentation is uploaded and managed within the Envusa environment.

Project Controls: Design, implement and update practical project controls in terms of performance reporting.

Project status analyses: Analyse information from project controls to provide insight to the PM on potential delays, improvements and recoveries.

Stakeholder Communication: Communicate effectively with internal and external stakeholders regarding document and project control matters.

Qualifications and Certifications The required candidate will have the following skills and experience:

Diploma or Certificate in Document Management

Professional experiences

At least 5 years’ professional experience in document control processes and systems as well as demonstrated capacity with project controls.

PV Solar project experience is preferrable.

Knowledge of MHSA regulations and other relevant standards.

Document Management: Proficiency in using document management systems and software.

Technical Proficiency: Strong computer skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint) and other relevant software.

Proficiency in Document management software, including setting up and management.

Experience with Aconex or similar document control platforms is essential.

Excellent Excel skills and understanding of building automated trackers.

Data Entry: Accurate and efficient data entry skills.

Quality Assurance: Ensuring all documents meet quality standards and are free from errors.

Reporting: Ability to generate and present detailed reports on document control and project performance activities.

Archiving: Skills in archiving and retrieving documents efficiently.

Compliance Knowledge: Understanding of regulatory and compliance requirements related to document control.

Familiarity with project management tools such as Primavera P6 or MS Project is advantageous.

Ability to work independently and as part of a team.
