Description

PURPOSE
To monitor DC execution against the load plan, as well as allocate
resources for any immediate requirements, to meet the execution and
communication expectations of both the Customer and Company, within a
structured planning framework in the distribution environment.

Duties

1. Live Route Monitoring
o Ensure vehicles are correctly assigned.
o Ensure that all routes are actively tracking and provide feedback.
o Escalate vehicles not reporting through to VSC.
o Escalate all issues regarding routes to distribution manager.
o Update incorrect customer locations.
o Provide ETA's to customers on late arrivals.

 Excessive time at customer
 Late departures
 Route Sequence Compliance
 Speeding
 Unplanned Stops 

  Unauthorized stops
  Unplanned trips
. Managing Late Departures


 Provide updates to Expeditors & on delays such as:
 Unavailability of Vehicles
 Lack of drivers
 Picking/ Loading/ Paperwork delays
 Technical issues (Breakdowns; fuel fill up; etc.)
 Call booking customers whose trips have not departed at the
 scheduled time; informing them of a delayed departure and an
 approximate time the truck will leave the DC to get to store.
 Provide updates to booking customers on ETA.
 Hand over all open queries over to expeditor at 04:00am on email.

 Expeditors
 Inform distribution manager/customers of booking customers whose
 trips have not departed at the scheduled time.
 Inform distribution manager/customers of customers with an ETA
 after their closing time to make arrangements.
 Ensure all of this communication is captured on email & on DRM.
 Please include the time at which you spoke to a specific person.

3. Managing Redeliveries


  Communicate possible redeliveries through to distribution manager to
  monitor and inform the customer on non-deliveries.
  Expeditor to establish reason for redeliveries.


  Debriefing


 Debrief to query driver on reason of redelivery in the cases where
 expeditor could not establish a reason.
 Inform planner and expeditor of redelivery and to enquire a new delivery date
 Provide reasons of redeliveries: and Late Departure

  1. Deal with Breakdown
    ? Delay at previous customers
    ? Customer return stock
    ? Receiving close
    ? Stand over  load
    ? Picking/ Loading/ Paperwork delays

4. Debriefing
o Expeditors
? Provide priorities to debriefing of drivers to be debriefed.
High/Medium/Low (Only a guideline to debriefing on where major
issues arose on route)
? Please check if all the drivers were debriefed the previous day.
? Debriefing
? Each driver needs to be debriefed .
? Planner
? Investigate big discrepancies.

5. Vehicle breakdown process (yard breakdowns)
? Dispatch to communicate breakdowns to expeditor/planner and provide
hourly updates.
? Expeditors to communicate through to customers on late deliveries or non-
deliveries.
6. Breakdown on route
? Driver to call expeditors to report breakdown.
? Expeditors to call workshop regarding breakdown.
? Expeditors to contact customer and inform them of breakdown; and make
the necessary arrangements for goods to be received. (Late deliveries)
? Expeditors to get updates from workshop and keep customer informed of
repair progress.
7. Handover from dispatch to Expeditors)
? Customer deliveries to send a handover email of any issues on routes in the
morning prior to 04:00am.
? Breakdowns
? Late Departures
? Communication to and from customers

? Any other important information
8. POD's
? Assist Debrief supervisor to communicate POD's to the drivers.
? Linking of outstanding POD's to daily routes for collection.

9. Handover between Expeditors 
? Each Expeditor to send a comprehensive handover email of all routes not
completed yet.
? To be included on the handover:
o Trips still en-route to customers
o Contact list of persons spoken to wrt receiving of late deliveries
o Routes to be debriefed with reasons
o Any other important information
o Possible redeliveries
? Note that the Expeditor will be required to also include on his/ her handover
email; all trips that are not tracking.
