Job Description:
The Payroll Administrator is responsible for the accurate processing of the full payroll function, thereby ensuring that the employees are correctly remunerated on time and that the database and files are maintained and updated correctly. Assisting the Payroll Specialist and HR department with relevant documentation, processes and activities.
•To ensure that all payroll functions are perform accurately and on time.
•To communicate effectively and timely with other internal departments and external stakeholders to resolve payroll queries.
•To liaise with the Payroll Specialist on any quality concerns, suggestions or ideas required
•Basic functions and procedures on SAGE Payroll software required for the successful completion of a payroll processing period:
oAccurate capturing of the following payroll input including but not limited to:
1.Loading new employees
2.Increases
3.Earnings, Commissions, Incentives etc.
4.Deductions
5.Company contributions
6.Perks
7.Terminations
8.MIBCO Council
9.EMP201, EMP501, UIF, SDL, COIDA, Skills Levy
oKnowledge of content of SAGE standard reports.
oReconciliation of payroll
oACB Export
oGeneral Ledger Export
oAdministrative duties e.g. filing & archiving
oGeneral payroll queries
oSupport HR and Management with internal and external audits with payroll and HR documentation
oSupport HR and Finance teams with payroll data and insights
oSupport HR team with events and meetings
oAssist payroll specialist with EE reports, setups and skills development reports etc
oSupport with EE audits, inspections and department of Labour/ Council Enquiries
oCoordinate and support company events, including supplier quotes, logistics, attendance tracking, and communication
oManage distribution of staff vouchers, rewards, and incentives, ensuring accurate records and approvals.
oAssist with internal communication related to HR and payroll initiatives as required
oProvide administrative support for HR compliance, IR requests and audits when required
oEnsure alignment between payroll data, HR records, and EE reporting
oManage and administer Skills Development Levies (SDL) in accordance with SETA requirements.
oLiaise with relevant SETA’s, training providers, and internal stakeholders
oEnsure accuracy and alignment of payroll data, training records, and employee information for SDL and SETA reporting
oPrepare, submit and track ATR and WSP within statutory deadlines
oMonitor training spend and grant claims, where applicable
oAny other duties or requirements requested by Management
Knowledge required ensuring that the application of the payroll complies with statutory legislation as well as more in-depth functionalities on SAGE Payroll software:
oDefinition and application of PAYE, SDL and COIDA
oEmployee benefits administration
oCouncil reconsolidation (MIBCO)
oTaxability of earnings
oTax-deductibility of deductions
oBasic BCEA knowledge
oMedical aid fringe benefit
oBCEA, LRA and MIBCO Compliance

oReport writer
oCouncil experience (MIBCO)

oCost to Company-payroll experience
oERS Biometrics clocking system
oValidating clocking data
Skills/Attributes:

•Good planning skills.
•Numerical and written communication skills.
•A methodical approach to work.
•Advanced levels of computer literacy (MS Office suite).
•Good Excel knowledge a plus
•Competent in SAGE 300 People Payroll.
Minimum Requirements:
Personal Attributes:
•Matric
•Payroll Diploma
•SAGE 300 VIP system experience
•Minimum 5 year’s experience in a similar role
•Numerical and written communication skills
•Advanced levels of Computer literacy (MS Office suite- Excel)
