Based at the head office (Reservations office) in Port Elizabeth, this junior-level role reports to the Reservations Manager, where you will work alongside a few others in a tightly knit team, finding the opportunity to grow in this field of work.
KEY RESPONSIBILITIES AND DUTIES:
- Processing of all reservations from agents, tour operators, the general public, and sales using Semper.
- Emails are checked daily, then prioritised and completed according to the date received and action needed - both reservations and operations.
- Capturing of Logistic flight details and activity schedules as well as medical and dietary needs.
- Assist the Reservations/ Operations Manager where it may be deemed necessary.
- Posting of payments.
- Attending to any correspondence and emails by customers, clients, and contractors.
- Passing on accurate guest information to relevant.
- Ensure that all relevant administration is kept always updated.
- Standby Duty every second weekend. (Remote access)
- Supporting the operations division in all administrative functions linked to order processing or where it may be deemed necessary.
- Negotiate and finalise prices with the suppliers.
- Find new suppliers both locally and internationally, negotiate terms and supply agreements, and negotiate rebates and discounts.
- Work closely with Lodge staff in Zimbabwe.
- Maintain and keep complete records of all suppliers and clients.
- Negotiate and manage schedules for timely delivery of materials and goods.
- Travel both local and international may be required from time to time.
MINIMUM REQUIREMENTS:
- Matric.
- Minimum 2 years of reservations and /or operations experience gained in a reputable lodge/hotel environment.
- Ability to work effectively in a fast-paced environment.
- Experience with booking systems, especially Semper, is highly advantageous.
- Excellent verbal and written communication skills (in English). The ability to speak German, French, Spanish or Mandarin is highly advantageous.
- Exceptional analytical skills to sift through high volumes of data and information.
- Ability to work sitting down in front of a computer for long hours every day.
- Focus on detail which is a major requirement of the job.
- Must be willing to travel locally and internationally, so a clean criminal history and valid passport are essential.
IN CONCLUSION:
- 100% on-site working model.
- Working hours: Monday to Friday, 08h00 to 17h00 or unless otherwise stated. Stand by every second Saturday.
- Salary: Market-related. Medical Aid contribution: 50% of the main member's contribution is paid by the company.
- Valid driver's license is advantageous.
