Our client is seeking for a results driven, strategic thinker and professional General Office Manager with the ability to lead, motivate, and guide the team towards achieving business goal, to join the team.

Purpose of the role:
The General Office Manager is responsible for overseeing the daily administrative and operational functions of the business to ensure efficient office management, smooth workflow coordination, and effective support to management, staff, and clients. The role ensures that office systems, resources, compliance processes, and administrative functions operate efficiently and professionally.

Key Responsibilities:

Office Operations Management
  • Oversee the day-to-day operations of the office.
  • Ensure smooth coordination of administrative and operational activities.
  • Develop and maintain office systems, procedures, and workflows.
  • Monitor office efficiency and implement process improvements.
  • Ensure the office environment remains organised, professional, and functional.
 
Administrative Management
  • Supervise administrative staff and allocate duties accordingly.
  • Manage reception and front-office operations.
  • Ensure proper filing and record-keeping systems are maintained.
  • Coordinate office correspondence, meetings, and communication.
  • Maintain confidentiality of company and client information.
  Financial and Operational Support
  • Assist with budgeting and office expense monitoring.
  • Manage procurement of office supplies and service providers.
  • Review and approve routine office expenditure within delegated authority.
  • Coordinate maintenance of office equipment and facilities.
 
Client and Stakeholder Relations
  • Ensure professional client service and communication standards.
  • Address client administrative queries and escalate where necessary.
  • Coordinate client meetings and support client onboarding processes.
  • Maintain positive relationships with suppliers and service providers.
 
Compliance and Risk Management
  • Ensure compliance with company policies and operational procedures.
  • Maintain health and safety standards within the office.
  • Support compliance with regulatory and statutory requirements.
  • Ensure secure handling and storage of confidential information and records.
  Reporting and Coordination
  • Prepare operational and administrative reports for management.
  • Monitor key office performance indicators and operational challenges.
  • Support management with special projects and operational initiatives.
  • Coordinate company events, meetings, and internal communications.

Minimum Qualifications, Experience and Knowledge:

  • Grade 12 / Matric.
  • Diploma or Degree in Business Administration, Office Management
  • 5+ years’ experience in office administration or office management.
  • Experience within a professional services or accounting firm will be advantageous.
  • Experience supervising administrative staff preferred.
  • Proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook.
  • Experience with office management systems and accounting practice software advantageous.
  • Familiarity with- Microsoft Office, Sage Pastel and basic understanding of financial administration and HR processes.
  • Strong leadership and supervisory skills.
  • Excellent organisational and multitasking ability.
  • Strong communication and interpersonal skills.
  • Problem-solving and decision-making capability.
  • High attention to detail and accuracy.
  • Professionalism and confidentiality.
  • Ability to work under pressure and meet deadlines.
  • Strong customer service orientation.
