Executive Assistant / Portfolio Operations Coordinator
Reports To: Operating Partner&Managing Partner
Location: Hybrid (Remote with periodic in‑person support as needed)
Employment Type: Full‑time, Exempt
Role Overview The Executive Assistant / Portfolio Operations Coordinator is a high‑impact support role working directly with the Operating Partner and Managing Partner of Dane Equity. This role serves as the connective tissue across a growing portfolio of operating companies, ensuring executive schedules are optimized, operational issues are coordinated, marketing initiatives are executed, and spending is tracked with clarity and discipline.
This position is ideal for someone who wants to operate close to decision‑making, thrive in a fast‑paced environment, and take ownership over keeping complex, multi‑company operations running smoothly.
Key Responsibilities Executive&Multi‑Time Zone Support
Support executives operating across four U.S. time zones, ensuring calendars are accurate, coordinated, and optimized.
Consolidate meetings, commitments, and travel into a single, clear operating view for each executive.
Proactively manage time zone conversions, travel buffers, priority sequencing, and scheduling conflicts.
Serve as the primary point of contact for inbound scheduling and coordination requests.
Prepare agendas, meeting materials, summaries, and action‑item tracking to drive follow‑through.
Portfolio Coordination&Operations Support
Act as a centralized coordinator across all portfolio companies for administrative and operational needs.
Assist with onboarding new portfolio companies, including system access, documentation, and initial operational setup.
Track and help resolve new company operational issues, escalating to the Operating Partner when needed.
Maintain organized shared drives, documentation repositories, and portfolio operating materials.
Coordinate marketing efforts across portfolio companies, including websites, branding updates, campaigns, and vendor communication.
Serve as the liaison between leadership and external marketing agencies, freelancers, and vendors.
Track marketing initiatives, timelines, deliverables, and basic performance indicators.
Ensure consistency in brand presentation while supporting company‑specific marketing needs.
Spend Management&Administrative Oversight
Track executive‑level and portfolio‑wide spending, including marketing expenses, software tools, and professional services.
Assist with purchase approvals, vendor setup, invoice tracking, and expense reconciliation.
Maintain visibility into recurring subscriptions and shared tools across portfolio companies.
Organize spend data and flag discrepancies or issues for leadership review.
Special Projects&Executive Enablement
Support ad‑hoc projects, internal initiatives, and strategic priorities as directed by leadership.
Compile inputs from portfolio companies, advisors, and partners into concise summaries and decision‑ready materials.
Track deadlines, dependencies, and ownership to ensure initiatives move forward.
Qualifications
Strong desire to be part of a fast‑paced, high‑impact role supporting senior leadership.
Highly organized with the ability to manage competing priorities across multiple companies and time zones.
Proactive, resourceful, and comfortable operating in environments with ambiguity and rapid change.
